Privacy Policy

Open House Copilot ("we", "us") is an iOS and web app built for real-estate agents to run open-house sign-ins, capture visitors and send automated, consent-aware follow-ups by text and email. This policy explains what the app collects, why and how it's stored.

What we collect

We do not record your open house. The app captures no audio or video of your visitors and produces no transcript of anything they say. What it collects is:

Your own voice notes, if you choose to dictate one instead of typing. Capture only starts when you tap to record and stops when you finish. These are your notes, in your voice, not a recording of the room.
Transcripts generated from those voice notes.
Visitor contact info (name, email, phone) that visitors enter on the kiosk sign-in screen or that you add manually.
Your account info: name and email from your Google Sign-In, used to identify your sessions and send emails on your behalf when you grant the Gmail send scope.
Property listings you create inside the app (address, price, photos, marketing copy).

What we do with it

Transcribe your voice notes via AssemblyAI so they become searchable text attached to the right lead.
Analyze your sign-in data and notes via Anthropic Claude to tag each visitor (Buyer / Seller / Browser), score their interest and draft a personalized follow-up.
Send follow-up texts to visitors who opted in, via Twilio, and follow-up email via Resend.
Measure product usage via PostHog so we can see which features agents actually use.
Send follow-up emails from your own Google account (only after you explicitly grant the gmail.send scope), with the body you reviewed and approved.
Store sessions on our backend so you can re-open them on a different device and so we can re-analyze them if the pipeline improves.

What we don't do

Record your open house, or capture audio or video of your visitors.
Sell or share your data, notes or transcripts with advertisers.
Use your data to train AI models. AssemblyAI and Anthropic process your notes and transcripts on a request-by-request basis; neither uses Open House Copilot's data for model training.
Track your location, browse other apps or access your contacts outside what you explicitly type in.
Show your leads to another agent's account. Your lead list is visible only to you.
Text your leads from your personal number. Open House Copilot sends from its own number, so your cell is never the sender. (Your cell is still shown to leads where you asked it to be: the call button on listings pages you share, and your email signature.)

Visitor consent

Visitors are never recorded, so there is no recording consent to collect. A visitor gives you their details by entering them on the kiosk sign-in screen, and is texted only if they separately opt in there (see SMS / text messaging below). If you dictate your own voice notes, local and state consent laws still apply to you, so follow the rules where you're recording yourself.

SMS / text messaging

Text messages under this program are sent by Aleks Wojewoda, a licensed real-estate agent with Compass in the Greater Seattle area. The messages are Aleks's own follow-ups to people he personally met at his open houses. They are not third-party marketing. (Aleks uses software called Open House Copilot to manage his open-house sign-ins and follow-ups; Open House Copilot does not send marketing on its own behalf.)

A visitor is texted only after, on the in-person kiosk sign-in screen, they enter their own mobile number and actively check a separate, unchecked-by-default consent box that reads: "Text me about this and similar listings. By checking this box I agree to receive recurring automated marketing text messages from Aleks Wojewoda (Compass) at the number I provided. Consent is not a condition of purchase. Message and data rates may apply; message frequency varies. Reply STOP to opt out or HELP for help."

What you'll receive. A personalized follow-up after the open house you attended (e.g. similar listings, answers to questions you raised) and occasional related updates about your home search from Aleks.
Frequency. Message frequency varies; typically a few messages following an open house you attended.
Cost. Message and data rates may apply, depending on your mobile carrier and plan.
Opting out. Reply STOP to any message to stop all texts; reply HELP for help. Opt-outs are honored immediately.
No sharing of your mobile information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Your mobile number and SMS opt-in/consent are never sold, rented or shared with any third parties; they are used only to deliver the messages described above.

Storage and security

Your voice notes, their transcripts and session metadata are stored on our backend (hosted on Fly.io in San Jose, California, USA) on an encrypted persistent disk. Visitor contact info and your account info are stored in the same backend. Authentication uses JSON Web Tokens signed with a server-side secret; all network traffic is TLS-encrypted.

Deletion

You can delete an entire session (notes, transcripts, analysis and leads) from the Session Detail screen by tapping the Delete button. Deletion is immediate and permanent.

To delete your account and all associated data, email support@openhousecopilot.com from the address you signed in with and we will purge everything within 7 days.

Open House Copilot uses these services to function. Their privacy policies apply to data they receive from us:
